Signs your business is re-keying data
If you recognize two or more, there are hours of your team's time waiting to be won back.
Re-keying data isn't free, even if it never shows up on an invoice
Time
Hours of skilled people spent on work that requires no judgment. And that time grows with the business: more orders, more typing.
Errors
One wrong digit means an incorrect invoice, a wrong order or a payment that doesn't reconcile. And it's discovered late, when fixing it costs more.
Flying blind
If data passes through three pairs of hands before it arrives, it's always out of date. You're making decisions with last week's snapshot.
How much is re-keying data costing you?
Adjust the values to match your team's numbers.
3 people × 5 h/week × 46 weeks × 22 €/h
An indicative estimate based solely on the values you enter, assuming 46 working weeks per year. It is not an offer or a guarantee of savings: how many hours can be recovered depends on each process and is analyzed during the assessment.
SHOW ME HOW MANY WE CAN RECOVERWhat is systems integration?
It's about getting your business applications to share information with each other, without someone in the middle copying and pasting. When the ERP, spreadsheets, accounting and email don't talk to each other, someone has to act as the bridge: that's re-keying data, or in other words, double data entry.
Integrating doesn't mean replacing your software. It means adding the missing connections so an order, an invoice or a customer is entered once and shows up wherever it's needed.
What we connect
- ERPOdoo and industry-specific ERPs, via API or web service
- AccountingAccounting import files, such as A3's, for your accountant
- SpreadsheetsExcel and CSV files that currently act as a bridge between programs
- DocumentsInvoices and delivery notes in PDF, XML or image format, read by AI
- Your own applicationsAn API so other systems can write and read data without intermediaries
Three ways to stop typing
There's no need to change your software. In each case, we use the door that's already open.
Connect
We link your programs via API or web service: ERP, CRM, online store, accounting. What goes into one shows up in the other, without anyone copying it.
Read
When the data arrives in a document, AI reads it: PDF, Excel, XML, CSV or a photo. It matches it against your records and a person confirms it before it's saved.
Export
If the destination has no API, we generate the file it already knows how to import. Your finance team or accountant loads it in one step, instead of typing entry by entry.
Integrations that are already up and running
Suppliers, purchases and invoices in sync
Web service integration with a group of companies' ERP: each company has its own database and all of them are read from a single point, with no exporting or re-importing.
From a pile of PDFs to registered invoices
They're uploaded in bulk as PDF, Excel, XML, CSV or image files. AI extracts the data, matches each invoice to its supplier, and the user just reviews before saving.
The accounting import file, generated automatically
Issued and received invoices for the period in A3's accounting import file, ready to import. Your accountant no longer re-types what had already been entered.
The control document, issued from the ERP
The ERP creates and issues the DeCA (Spain's electronic transport control document) with a call to our API and gets the QR code back. Nobody re-types the shipment on another screen. Learn about the DeCA.
Without breaking what already works
Assessment
We map where your data travels, who types it in and how many times. The result is a list of processes ranked by the hours that can be recovered.
One process first
We start with the one that eats up the most hours. The manual method runs alongside the automated one until it's validated with your real data.
Measure and expand
We check the hours freed up against the estimate. Once the first one is up and running, we decide on the next.
Guide: what re-keying data between programs really costs and how to stop
What people ask us first
Do I have to change the software I already use?
No. We connect the programs you already have. The goal is for them to stop needing a person in the middle, not to replace them.
What if my software doesn't have an API?
There are other routes: the files it can already export or import, a web service, or using AI to read the documents it generates. The assessment is how we find the way in.
How long does an integration take?
It depends on the systems and the process. That's why we start with just one, the one that eats up the most hours, and expand once it's working.
What does re-keying data mean?
Manually typing into one program information that already exists somewhere else: a PDF, an Excel file or another program. It's double data entry, and every time it's repeated it costs time and creates a chance for error.
Can supplier invoices be automated?
Yes. AI reads the invoice in PDF, Excel, XML, CSV or image format, extracts the data, matches it against the supplier record, and a person confirms it before it's saved.
How do you connect the ERP with accounting?
If the accounting software has an API, directly. If not, by generating the accounting import file it already knows how to handle, such as A3's, to load the period's invoices in one step.
Is it safe to connect my systems?
Each connection uses its own credentials with the minimum permissions it needs, and data travels encrypted. It's all reviewed during the assessment before anything is touched.
How much does it cost?
The assessment is free. After that, each process is quoted separately, with an estimate of the hours it frees up, so you can decide based on the numbers.
